The Woodworker’s Guide to Databases

One of my hobbies over the years has been woodworking. When we lived in Michigan I had a very nice workshop and made everything from bird feeders to furniture for our kids. I subscribed to several woodworking magazines featuring cool projects that struck my fancy which soon ended up in stacks, for future reference. Inevitably some of those projects would make it to my “To Do” list, forcing me to search through the stacks for the article of interest. Sometimes the search took hours. Sometimes I never found what I was looking for.

Then, one day, the computer geek in me realized the solution for this severely frustrating process–a database! In no time, I had a list of fields I wanted to capture, including, magazine name, publication month and year or volume number, article title and author, page number, and yes … keywords! My mind raced with possibilities. I quickly opened up my database software and began creating my defined fields. That, in turn, led to the definition of even more fields I wanted to add–general category, level of difficulty, special comments, etc. In a couple of days I had built my dream database and was ready to begin entering data. I started by working my way through the stacks of magazines, re-reading them cover to cover and entering any items that looked like I might want for future reference. Several months and many hours later I completed the task, confident that from then on I would only have to deal with newly arrived magazines.

 
Six months later, I had only queried the data a couple of times, and had yet to start a single referenced project! It finally dawned on me that my excitement over the possibilities of what a database could do had outweighed the practical consideration of the actual advantages of the database. The data was too big and needed some cuts. My cost-to-benefit ratio (my time in creating and populating the database versus the number of times it produced useful results) was about a hundred to one–not a good situation!

Eventually I developed a realistic working relationship with my computer–tempered by a recognition that I needed to think more about how I use it before building another database. A woodworker soon learns it is best to develop a plan before buying the lumber; things just work better when you take that approach.

This brings me to the key point I would like to share with you. Through my years of experience, I have seen a similar pattern repeat itself in laboratory animal facilities I have worked with. Computers, software applications and databases can be powerful allies. They can also become an obsession that can cost a lot of man hours. Databases are inherently hungry and can include more parts (fields) than are needed.

The key is wise management of data. You need to know the desired end-point for that data. The inclusion of more data than will serve a useful purpose results in wasted time (data entry), resources (PC or server space) and the increased risk of performance issues (slow response times).

So the message is simple–start from the end and work backwards. Begin by looking at what outputs (reports, processes, etc.) are truly needed and then decide what data you really need to collect in order to generate those outputs. Make sure the outputs are worthwhile and necessary. Studiously avoid the tendency to become enamored with what computers can do and focus on achieving worthwhile outcomes.

Computer technology should be your servant, not your task-master. Just like in woodworking, don’t be afraid to make cuts.

Training, It’s More Than Just a Phase

Ensuring institutions have the necessary tools to gain the full benefits of the new interface and enhanced functionality of TOPAZ products requires careful planning and coordination with Client Services. Our team is made up of Certified Trainers, Implementation Coordinators and Project Managers who specialize in implementing rich Internet applications. TOPAZ Technologies has a proven, successful implementation strategy used by over 100 clients around the world. This strategy employs a three-phased approach for a successful implementation and training.

•  Phase I begins with the assignment of a dedicated project management team, creation of an implementation plan and an onsite visit by a TOPAZ Project Analyst to personally interview the client subject matter experts who serve as the institution’s “Core Team.” This information is used to produce a process analysis and recommendations report to be utilized during the Phase II Implementation & Core Team Training process.
•  Phase II starts with implementing and configuring the application based on the recommendations of the Client Core Team and the Process Analysis Report. This phase also includes core team member training at the client facilities on application administration, ensuring they can optimize their use of the products.
•  Phase III is comprised of Train the Trainer and End User Training Sessions. During the Train the Trainer Session, a certified TOPAZ trainer will work directly with the client training staff with specialized Train the Trainer Guides that provide application usage tools and tips as well as industry best practices. Also during this phase, TOPAZ Client Services staff, who are certified to train on the entire TOPAZ product suite, will conduct End-User Training courses and provide quick reference materials.

The culmination of the three phases is a well-defined, successfully implemented project completed in 4 to 6 months on average.

Making Use of Profile Settings in GRANITE

In order to ensure all users have the appropriate access and rights to perform key activities, it is important the corresponding functions are enabled in the “Maintain User Profiles” section and consistent with the appropriate Security Groups. For instance, assigning a security group will ensure the user can access the appropriate screens, while the user profile selections will determine what rights the user has in those screens.

Quick Tip #1: In GRANITE 1.X, in order for a user to perform typical administrator functions, the “Animal Order Administrator” check box must be selected. Once enabled, the user can perform the following tasks:

•  Approve or deny animal order requests
•  Create pre-approved animal orders
•  Edit approved animal orders
•  Record the placement of an animal order
•  Cancel orders that were placed

Quick Tip #2: In GRANITE 4.x, in order to allow users read-only access to all animal orders, enable the “Access All Orders” setting, located in the “Maintain User Profiles” section.
